Request Business Trip

The Request Business Trip functionality allows employees to log all necessary details for upcoming business trips. Unlike other modules, such as Overtime or Home Office Requests, creating a business trip request requires a multi-step process involving additional details and an explicit change of status to Pending Approval. This ensures that all relevant information is collected for accurate approval and planning.

Steps to Submit a Request:

  1. Navigate to the Business Trips module from the main menu.
  2. Click the New Business Trip button to open the request form.
  3. Fill in the required fields in the Business Trip, Info, Transport, and Project sections:
    • Business Trip: Specify the requestor, employee details, and start/end dates.
    • Info: Add details such as destination (city, country), payment date, and accommodation specifics.
    • Transport: Choose the mode of transportation (e.g., vehicle, personal transportation, or business vehicle).
    • Project: Provide relevant project/task details and attach a travel report if applicable.
  4. Click Save to save the request as a draft.
  5. To submit the request for approval, change the status to Pending Approval. This will:
    • Trigger an automated email notification to the direct manager for approval.
    • Mark the request as Pending Approval in the system.
  6. Await feedback from the approver. Once the manager approves or rejects the request, the status will update automatically.

Additional Information:

  • Mandatory Fields: All fields marked with an asterisk (*) must be completed before saving the request.
  • Validations: The system prevents overlapping business trip requests for the same employee during the same time frame.
  • Status Changes: Requests saved as drafts will not be processed until explicitly marked as Pending Approval.

This workflow ensures all business trip requests include the necessary details for seamless approval and integration into company schedules.
