Shift Stats Update

The Shift Stats Update functionality ensures that approved requests for Overtime, Callout, Standby, and Reduction are automatically reflected in the employee’s shift statistics. This process maintains data integrity, compliance, and accurate payroll records.

How Shift Planning is Updated

When a request is approved, the system automatically updates the Shift Planning Statistics table to reflect the changes:

  • Overtime: Calculates and logs day hours, night hours, and previous-day night hours. If the night hours exceed 4 hours, they may be converted for payroll adjustments unless explicitly skipped.
  • Callout: Adds emergency work hours to day or night hours, ensuring compliance with standby requirements.
  • Standby: Logs Standby hours as separate entries for same-day and previous-day tracking, without contributing to total worked hours.
  • Reduction: Subtracts specified hours (both day and night) from the existing shift statistics to accurately reflect reduced work schedules.

Example Updates

Here’s how shift statistics are updated for common scenarios:

  • Overtime: If an Overtime request from 10:00 PM to 2:00 AM is approved, the system logs 2 hours of night work and 2 hours of previous-day night work.
  • Standby: A Standby request from 8:00 PM to 6:00 AM results in 10 hours of standby time split between the same day and the next day.
  • Reduction: A Reduction request from 2:00 PM to 5:00 PM removes 3 hours of day work from the employee’s statistics for that day.

Compliance and Accuracy

The automatic updates ensure compliance with organizational policies and labor regulations by:

  • Preventing overlapping requests (e.g., Overtime and Reduction).
  • Ensuring all hours are logged with proper categorization (day, night, standby).
  • Providing managers and payroll departments with accurate and real-time statistics.
