Access and Roles
These modules enable precise control over employee access and privileges across multiple companies, ensuring compliance with organizational and regulatory standards in a GMP environment.
Access to Companies
Every employee is assigned to a primary company in the Staff module, where all employee profiles are managed.
By default, users can only view the Effective documents of their assigned company.
To grant access to additional companies, use the Access to Companies module.
This allows employees to view Effective documents for multiple companies.
The process is as follows:
- Select the employee from the list.
- Choose the additional company or companies to which access should be granted.
- Save the assignment to update their permissions.
Once completed, the employee will have visibility of Effective documents for the selected companies in addition to their primary company.
Staff Additional Assignments
By default, access privileges such as Author, Reviewer, Quality Approver, and Doc Controller are assigned to employees in their primary company via the Users module.
These privileges apply only to the employee's main company.
To extend these roles to other companies, use the Staff Additional Assignments module.
This enables assigning additional privileges for an employee in the context of specific companies.
Follow these steps:
- Select the employee from the list.
- Choose the Access Group (e.g., Author, Reviewer).
- Multi-select the companies where the additional privileges should be valid.
- Save the assignment to update the employee's access.
This ensures that employees can perform specific roles for the assigned companies.
For example:
- Author: The employee can create documents for the selected companies.
- Reviewer, Quality Approver, or Doc Controller: The employee can review, approve, or control documents for the selected companies.
Without these additional assignments, the employee’s roles are limited to their primary company, and dropdown menus will only display options for their default company.
