User Privileges

The ProFlow Document Management system assigns distinct roles to users, each contributing to the document lifecycle and ensuring compliance within the approval workflow.

Author

Authors are responsible for initiating new documents and submitting them for approval. They receive automated notifications at every stage, keeping them informed of the document’s progress.

  • Create and submit documents for approval.
  • Address required changes and upload revised versions.
  • Ensure all revisions comply with feedback provided during the review process.

Reviewer

Reviewers are manually selected by the author to evaluate the document. They assess its content and either approve or request changes.

  • Approve the document to move it to the Department Review stage.
  • Request changes, returning the document to the "Start" status for revision.
  • Provide detailed feedback for necessary improvements.

Reviewers’ decisions trigger automated notifications to keep the author updated on the document’s status.

Department Reviewer

The Department Reviewer ensures that the document aligns with departmental requirements and standards.

  • Approve the document to advance it to the Quality Review stage.
  • Request corrections and return the document to the "Start" status for revision.

Authors are notified of any required changes, enabling them to make revisions and resubmit the document.

Quality Approver

The Quality Approver conducts a thorough evaluation to ensure the document meets all quality standards before it moves to the final review stage.

  • Approve the document to forward it to the Doc Controller.
  • Request changes and return the document to the "Start" status.

Authors receive automated notifications for necessary corrections, facilitating timely revisions.

Doc Controller

The Doc Controller is the final authority in the document approval process, ensuring compliance and readiness for release.

  • Approve the document and mark it as Effective.
  • Request additional revisions and return the document to the "Start" status.
  • Retire documents that are no longer relevant or required.

As the final gatekeeper, the Doc Controller ensures that only fully compliant documents are made effective.
