User Privileges


User Privileges

Each user role in the ProFlow Document Management system plays a key part in the document approval workflow.
Each role is defined by specific responsibilities to ensure smooth and compliant processing of documents.

Author

The Author is responsible for creating new documents and submitting them for approval.
They receive automated notifications at every stage of the process, informing them whether the document is approved or requires changes.
Authors must follow the approval process, make necessary corrections, and upload revised versions when required.

Reviewer

The Reviewer is manually selected by the author and may include multiple individuals.
Reviewers assess the document and either approve it or request changes.
Upon approval, the document moves to the department review stage.
If changes are needed, the document is returned to its initial "Start" status, and the author is notified via automated email to revise and resubmit the document.

Department Reviewer

The Department Reviewer is the department manager responsible for ensuring the document meets departmental requirements.
They can approve the document and send it to the quality review stage or return it to the "Start" status for further corrections.
Automated notifications are sent to the author when changes are requested, instructing them to revise and resubmit the document.

Quality Approver

The Quality Approver conducts a thorough quality review of the document.
If the document passes the quality check, it moves to the document controller for final review.
If corrections are needed, the document returns to the "Start" status, and the author is notified to make the necessary changes and resubmit.

Doc Controller

The Doc Controller performs the final review and approval of the document, after which it can be marked as Effective.
If further revisions are required, the document is returned to the "Start" status, and the author is notified to make the changes.
In addition to final approval, the Doc Controller has the authority to retire documents when necessary.
