Document Tables


Document Tables

The Document Management module includes two distinct tables designed to provide users with streamlined access to relevant document information and actions. These tables ensure that users can efficiently manage their responsibilities and maintain compliance with document workflows.

Effective Documents Table

The first table, located at the top of the page, displays a list of all Effective documents within the system. This table provides a comprehensive overview of approved documents, allowing users to reference critical information such as document codes, versions, and approval dates.

Key points about the Effective Documents table:

  • Includes all documents that are in the Effective status.
  • Columns in this table are configurable, meaning users can modify which columns are displayed based on their preferences directly in the table interface.
  • Visible to all users who have access to the respective company or companies.
  • Serves as a read-only reference table; no actions can be performed directly from this table.

Action Required Table

The second table, located below the Effective Documents table, shows documents that require action from the logged-in user. This ensures that users are aware of their responsibilities in the document workflow, such as reviewing or approving.

Key points about the Action Required table:

  • Displays only documents that expect action from the logged-in user.
  • Columns in this table are fixed, and users cannot modify them.
  • Examples of documents visible here include:
    • Documents pending review: If a document is awaiting review and the logged-in user is one of the reviewers, it will appear in this table.
    • Documents awaiting quality approval: If a document is awaiting quality approval and the logged-in user is one of the approvers, it will also appear here.
    • Revisions requiring input: If a document revision needs further input or corrections from the logged-in user, it will show up in this table.
  • Example: A document named "Test 12345" is in the "Department Review" stage and requires approval from the logged-in user as a department reviewer. The document will appear in the Action Required table, prompting the user to review and approve it.

In general, the Action Required table dynamically updates based on the logged-in user's role and assigned responsibilities, ensuring they only see documents relevant to their workflow tasks.

Purpose and Functionality

The dual-table structure ensures clarity and efficiency in managing document workflows:

  • The Effective Documents table serves as a reference for approved documents, enabling users to access the latest official versions easily and customize their view as needed.
  • The Action Required table highlights documents that require immediate user attention, ensuring accountability and timely progression of document workflows.

This design ensures that users focus on relevant tasks while maintaining full visibility of approved documents.
